Managing 2-Step Verification

2-Step Verification Illustration

2-Step Verification (2SV) adds an extra layer of protection to Google Workspace accounts by requiring a second authentication method beyond the password. It helps prevent unauthorized access—even if a password is compromised.

🔐 Why 2-Step Verification Matters

🛠 Admin: How to Enforce 2SV in Google Admin Console

  1. Log in to admin.google.com
  2. Go to Security > Authentication > 2-step verification
  3. Click Allow users to turn on 2-step verification
  4. Set enforcement policy: Off, Optional, or On
  5. Choose methods to allow: Google Prompt, App, SMS, Security Key
  6. Click Save

👤 User: How to Set Up 2SV on Your Account

  1. Go to Google Account Security
  2. Click 2-Step Verification > Get Started
  3. Enter your password
  4. Choose a second step: Prompt, Text Message, or Authenticator App
  5. Follow on-screen steps to complete setup

🤖 AI Security Tip:

Encourage users to use security keys or Google Prompt over SMS, which is more vulnerable to SIM swap attacks.

🔁 What If I Lose My Second Factor?

Users can recover access by using backup codes, recovery phone numbers, or contacting the Workspace Admin for help resetting the 2SV settings.

“2-Step Verification is not just an option—it's the foundation of a modern security strategy.”
