Suspend, Unsuspend, or Delete Users in Google Workspace
Managing users in Google Workspace includes the ability to suspend access temporarily, restore access, or permanently delete user accounts. Here's how to perform each action from the Admin Console.
๐ How to Suspend a User
- Go to admin.google.com and log in with Super Admin privileges.
- Navigate to Directory โ Users.
- Click on the user you want to suspend.
- At the top-right, click the three-dot icon (โฎ), then choose Suspend User.
- Confirm suspension in the popup.
๐ How to Unsuspend a User
- Log in to admin.google.com.
- Go to Directory โ Users.
- Find the suspended user (it will be marked as โSuspendedโ).
- Click their name, then click Reactivate User at the top-right.
- The user will regain access to their account and all associated services.
๐๏ธ How to Delete a User
- Go to the Admin Console at admin.google.com.
- Navigate to Directory โ Users.
- Select the user account you wish to delete.
- Click the three-dot icon (โฎ), then choose Delete User.
- Review and confirm deletion. Optionally transfer data (Drive, Gmail) to another user before confirming.
โ ๏ธ Warning: Deleting a user is permanent. Their data will be deleted unless it is transferred during the deletion process.
โ Best Practices
- Use suspend instead of delete for temporary leaves or violations.
- Transfer ownership of Drive and Gmail data before deleting users.
- Audit user accounts regularly to clean up unused licenses.
- Keep at least one Super Admin active at all times.
